Annual Reports to the Board of Directors

 

ACHA committees, task forces, coalitions, sections, and affiliates are required to provide a mid-term and an end of term report to the Board of Directors (BOD). These reports provide the BOD with leader and current member information; the progress of activities and efforts since the last report as well as an explanation of future activities and efforts; an opportunity to forward advocacy issues that could be addressed at the national level; and any other pertinent information that the group would like to share with the BOD.

Since Committees and Task Forces are given a presidential charge each program year, the required report forms are provided separately by the ACHA national office.

Coalitions, sections, and affiliates, which are not typically given presidential charges, will use the forms respectively provided for both the mid-term and end of term report to the BOD.

Association Liaisons are also required to provide a mid-term and end of term update to the Board of Directors. An update should address any correspondence, meeting attendance, activities, etc. that the liaison had with the external organization since the last BOD update. There is no set format for the update and an email or word document providing a narrative summary is acceptable.

During the summer months after the annual meeting, the ACHA national office contacts each chairperson and affiliate president with the due dates of the two reports (mid-term and end of term) to the BOD. Association Liaisons are contacted as well concerning the due dates.


Mid-Term Report

The mid-term report to the BOD is traditionally due in the ACHA national office in mid-December. The ACHA national office then compiles these reports for Board of Director review during the winter BOD meeting (typically occurring in early February).

During the winter meeting, assigned Board Liaisons represent the interests of their assigned committee, task force, coalition and/or section.

Affiliate interests and reports are represented by their Regional Representative on the Board.

Association Liaisons do not have Board Liaisons per se, but ACHA’s interest in its current relationships with external organizations and the liaison updates are discussed and reviewed in whole by the board members.

Due to time constraints during the winter board meeting, general recommendations to the BOD is not an option. However, a specific recommendation could be addressed as a separate agenda item if it is deemed time-sensitive.


End of Year Term Report

The end of term report to the BOD is traditionally due by early May. Like the mid-term reports, the national office collects and organizes the reports for BOD review during the annual meeting.

The same representation and review process takes place with the additional “Recommendation to the Board of Directors” option included.

Reports should be submitted here.

Only during the annual meeting are groups given the general opportunity to make recommendations that would require a full Board vote. Recommendations should be fully explained and include any supporting documentation that would aid the BOD in their decision.
